What we are looking for?

We are looking for a skilled Estate Manager that will be responsible for the efficient and effective management of residential properties within the estate. This role focuses on ensuring the safety, security, and satisfaction of residents while maintaining the physical integrity of the property. The Estate Manager serves as the primary point of contact for residents, promoting a positive community atmosphere and enhancing the property’s reputation.

Key Performance Indicators

  • Operational Completion Rate: 100% of operational requests including incident management addressed within the defined timelines. The CRM Tickets Report will be used to monitor the timelines for completion.
  • Maintenance Completion Rate: 100% of maintenance requests addressed within the defined timelines. The CRM Tickets Report will be used to monitor the timelines for completion.
  • Tenant Satisfaction Rate: Achieve a tenant satisfaction score of at least 90% in biannual surveys.
  • Tenant Retention Score: Maintain a tenant vacate rate of less than 3% which will be managed and controlled through monthly Bitrix reports.
  • Overall Estate Score: Achieve an inspection score of 90% or higher in monthly assessments performed by Area Manager as well as a 90% or higher score in bi-annual inspections done by Head of Operations and CEO.
  • Financial Score: Manage expenses including utilities to be within 3% of budget.
  • Smart Rocks: Contribute to at least 1 Smart Rock per quarter

 

Requirements
Education & Qualifications

  • Matric / Grade 12 (essential)
  • Diploma or degree in Property Management, Facilities Management, or a related field (preferred)
  • Valid driver’s licence (essential)

 

Experience

  • Minimum 3–5 years of experience in estate, property, or facilities management preferred
  • Experience in staff supervision (security, maintenance, cleaning teams)
  • CRM and reporting experience

 

Skills & Competencies

  • Strong leadership and people management skills
  • Good understanding of property laws and compliance requirements
  • Excellent communication and negotiation skills
  • Proficiency in MS Office and property management software
  • Ability to manage maintenance schedules, contractors, and service providers
  • Strong problem-solving and conflict resolution abilities
